September Update

Since our AGM, we have seen our member numbers steadily grow and have had a few more of our community put their hands up – thank you to everyone for doing your part!

To date, all members should have received the minutes from our AGM and the current operating Constitution, if you have not received these, check your junk mail and contact us via email so I can reshare.

This email serves as a formal invite to a Special General Meeting (SGM) and provide some information ahead of the evening.

Hamilton Cosmopolitan Club (Cossie Club)

As with the AGM, the meeting will be held in the Bowls Room (rear building), which is accessed through the main building. A sign in sheet will be available as you enter the room, please locate your name and sign in.

Light refreshments will be available during the meeting. You're also welcome to purchase additional food and beverages from the club bar if you wish.

Our Agenda

• Karakia Tīmatanga

• Pass the minutes from the AGM

• The current chair will provide a brief recap and introduce the Kaupapa for the night including voting process.

• The sitting board will express their intentions.

• Board Applicants will be provided time to speak to members including stating interest in positions within the board

• Voting will take place for board members

• Voting for Chairperson / officers will take place

• General business and open forum

• Karakia Whakamutunga

Voting by Proxy

A question raised in the AGM was if members could vote in absentia. Per our constitution, only financial members may attend, speak and vote at the AGM in person, by signed original written proxy provided in person to a committee member or by a authorized representative.

Given this our understanding is that you can provide your for’ or ‘opposed’ vote in writing to a member to provide to the secretary on the night, it merely needs to be signed by the member in absence, please ensure to clearly print your name if you wish to do this.

Board Applicants

Entries have now closed for board applicants; these have been provided in the attachment and permission to share has been granted. If names have not been included this is because we had not received details in time for this email.

More information will be provided directly to applicants next week.
